Delegate Manager

Reports to: Head of Delegate Management
Location: Hybrid (minimum 1 day per week in London Office)
Travel: Required for onsite event delivery

Role Overview:

The Delegate Manager is responsible for the day-to-day delivery of delegate logistics across a range of events. This includes managing attendee registration, travel, accommodation, and onsite support. The role requires strong organisational skills, attention to detail, and the ability to work collaboratively with internal teams and clients to ensure a seamless delegate experience.

Key Responsibilities:
Project Delivery

·        Manage delegate logistics across multiple events, including registration, travel, accommodation, and visa support.

·        Set up and maintain registration platforms and apps (e.g., Swoogo, CrowdComms, Cvent, Spotme), ensuring data accuracy and timely updates.

·        Communicate with attendees and clients in line with SLAs, providing clear and professional support.

·        Support onsite delivery, including check-in, attendee management, and troubleshooting.

·        Collaborate with the Digital Operations team to ensure platform readiness and integration.

Operational Support

·        Maintain accurate delegate data and reporting throughout the event lifecycle.

·        Ensure compliance with internal processes and client expectations.

·        Escalate issues to the Senior Delegate Manager or Team Manager as needed.

·        Contribute to post-event reconciliation and reporting.

Team Collaboration

·        Work closely with Senior Delegate Managers and Coordinators to ensure smooth project delivery.

·        Share knowledge and contribute to team development and continuous improvement.

Reconciliation & Post-Event

·        Manage post-event attendance analysis and reporting.

·        Participate in post-event debriefs (internal and client-facing), applying a critical eye and sharing learnings across the team.

·        Manage post-event administrative processes, including reconciliation and final reporting.

External Engagement

·        Deliver excellent customer service and anticipate attendee needs.

·        Represent Strata professionally onsite and in communications.

·        Stay informed about new technologies and contribute ideas for innovation.

Job requirements

The Candidate:

·        Experience in delegate management or event logistics.

·        Familiarity with registration platforms and data handling. (e.g., Swoogo, CrowdComms, Cvent, Spotme).

·        Highly organised with strong attention to detail.

·        Excellent communication skills (verbal and written).

·        Strong literacy and numeracy skills.

·        Proficient in Excel and confident working with data.

·        Comfortable working in a fast-paced environment with shifting priorities.

·        Willingness and ability to travel for onsite event delivery.

·        Experience in pharmaceutical and automotive sectors is highly beneficial.

·        Availability to work outside of standard business hours when required.
